Position Summary

Reporting to the Arena Program Coordinator, the Arena Program Assistant will provide strong leadership and expert guidance to skating staff by following the City’s core values of Care, Collaboration, Courage, and Service. Under the direction of the Coordinator, you will provide supervision and coordinate year-round skating programs and services for participants of all ages.

Key Duties and Responsibilities

Program Development & Implementation:

  • Develop, implement, supervise and evaluate skating programs in conjunction with the Program Coordinator
  • Assist in overseeing program delivery, visiting program sites on a regular basis to evaluate and improve program quality
  • Examine existing programs and services (drop-in, registered) for success and make recommendations for change to Program Coordinator
  • Evaluate programs using the High FIVE Quest model and report back to Program Coordinator
  • Instruct programs when necessary
  • Work cooperatively with other Community Services Staff (facility operators, reception staff, coordinators) to ensure successful delivery of programs
  • Maintain an accurate inventory of program supplies

 

Staffing and Volunteers:

  • Assist the Coordinator to manage staff transitions including recruitment, onboarding, transfers, promotions and departures
  • Coordinate and maintain an accurate part-time staff schedule system to ensure effective program delivery
  • Provide direction, supervision and performance evaluations of part-time staff
  • Work with Coordinator to deliver an effective training process to ensure all skating staff have the necessary skills and knowledge of City policies and procedures
  • Provide direction to staff in regard to day-to-day operations within Department policy and procedure
  • Submit volunteer need requests and assist in the training, supervision and evaluation of volunteers
  • Ensure up-to-date tracking of staff qualifications and training requirements

Administration:

  • Assist as needed with the customer registration process and monitoring waitlists
  • Monitor and verify hours worked and input into payroll system.
  • Provide a high level of customer service to patrons to promote repeat participation
  • Make recommendations for change to existing program related policies and procedures when necessary
  • Assist the Program Coordinator with preparing, submitting, and handling marketing requests as well as verifying that all marketing information is accurate
  • Ensure appropriate spending of the assigned budget by tracking expenses
  • Prepare and forecast annual budget needs and submit to Coordinator
  • Prepare reports, statistics and research as requested
  • Make recommendations for change to existing program related policies and procedures when necessary
  • Perform all required administration functions in accordance with City policy and procedure as it relates to finance, purchasing, staff sign-up etc.
  • Attend events and other public functions to promote programs and services
  • On Call/Standby is required on a rotational basis to support staff on site
  • Perform other duties as assigned for the Recreation and Culture Division as required

Education and Experience

  • Recreation Leadership Diploma or equivalent
  • Standard First Aid & CPR C
  • NCCP
  • High FIVE Principles of Healthy Childhood Development (asset)
  • High FIVE Quest (asset)
  • Minimum 1 year relevant experience

Required Skills/Knowledge

  • Well organized, independent and highly motivated, with the ability to handle multiple job responsibilities, set priorities, problem solve and work with all levels of staff
  • Knowledge of ActiveNet and SAP systems is asset
  • Understanding of recreation trends as they relate to Arena programs and services
  • Demonstrates ability to work effectively with individuals of all ages and abilities in an inclusive environment
  • Working knowledge of planning and delivering recreational skating programs and camps
  • Demonstrated experience in coaching, team building and supervising and developing staff to achieve high levels of performance
  • Experience in taking a leadership role
  • Proficiency in Microsoft Office Suite applications with strong knowledge of Excel, Word & PowerPoint
  • Knowledge related to: WHIMS; AODA; Health and Safety for Supervisors
  • Ability to work well with minimal supervision
  • Demonstrates strong written and verbal communication skills
  • Skills related to: problem solving, time management, leadership, and delivery of excellent customer service
  • Must possess a valid Ontario Class “G” Driver’s License, and have access to a vehicle for use of corporate business
