Position Summary

Reporting to the Manager, Facility Maintenance, the Facility Systems Coordinator will provide strong leadership and expert guidance to staff by following the City's core values of Care, Collaboration, Courage, and Service. Under management direction, you will provide supervision, and co-ordinate and oversee daily activities of staff and contractors including preventative and demand maintenance activities, as well as the maintenance and service of life safety systems at all City facilities.   

Key Duties and Responsibilities
  • Support the implementation of  the City Facility Maintenance Program
  • Conduct equipment failure investigations and reliability assessments
  • Support the administration of the City Facility Maintenance Master Data and  Schedule
  • Develop facility maintenance plans and bills of material
  • Coordinate and supervise internal staff and external contractors
  • Manage, prioritize, and delegate maintenance work orders for City facilities to ensure work is completed according to the maintenance schedule
  • Participate in the creation of quotation forms for tendering process for external maintenance contracts
  • Procure and manage roster of applicable Service and Maintenance Contracts  (initiate, create, tender and manage)
  • Process invoices and service reports in the Enterprise Resource Planning System, and maintenance work order system
  • Operate and maintain HVAC, electrical, mechanical, life safety, building automation and security systems as per relevant codes and regulations
  • Produce associated compliance and inspection reports as required
  • Monitor and maintain life cycle information for all equipment and systems within City facilities\Monitor work orders and provide status updates to stakeholders as necessary
  • Establish benchmarks for measuring and standardizing service quality features, and deliver cost-savings in service and maintenance
  • Provide technical support to facilities for electrical, mechanical, life safety and security systems
  • Provide technical support within the department in relation to department specific software Deliver training to stakeholders where necessary (i.e. fire drills, maintenance inspections, etc.)
  • Manage minor Capital Projects 
  • Manage the Building Automation Systems (BAS) and review problems as they are discovered to determine cause and resolve issue
  • Deliver cost savings in service and maintenance, monitor energy costs and consumption, dispose of identified and obsolete depreciated assets, and coordinate hazardous waste disposal for identified sites
  • Responsible for sectional budget preparation and monitoring.  
  • Ensure ongoing Health and Safety procedures and standards are observed within the workplace

Education and Experience
  • 3 year Diploma in Engineering Technologist or related discipline
  • Certified Engineering Technologist (CET) designation is an asset
  • 5 years related experience
  • Facility management experience with an established quality assurance program within a work environment including but not limited to pharmaceutical manufacturing, hospital, healthcare, or data centre is considered an asset.
  • Preventative building maintenance experience
  • Facility management experience is an asset
     
Required Skills/Knowledge
  • Possess a core competency in at least one major building technology such as Fire, HVAC, Building Automation, Architectural, Safety, Computerized Maintenance Management, Maximo etc.
  • Familiarity with Ontario codes, regulations, and standards (i.e. fire code, building code, CSA Standards, etc.)
  • Skilled in the use of computer databases, spreadsheet and word processing knowledge, quality assurance training and/or experience.
  • Ability to understand and interpret architectural, mechanical, and electrical drawings.
  • Experience with computer aided design software is considered an asset.
  • Proficiency with Microsoft Office, and experience with engineering-related software (Maximo, etc.)

  • Office Environment with occasional physical effort required.
