Position Summary
Reporting to the Manager, Strategy and Government Relations, the Program Assistant will provide program related assistance to the Strategy and Government Relations Section.
Key Duties and Responsibilities
- Research, analysis, report writing, project planning and coordination in support of the work of the Strategic and Government Relations Section, which include the monitoring and implementation of the 2024-2027 Strategic Plan, preparing grant applications on behalf of the City and government relations activities such as analysis of provincial legislation.
- Answer phone inquiries, direct calls, and provide basic information; oversee mail deliveries, packages, and couriers.
- Perform clerical duties, take memos, maintain files, organize documents; photocopy, fax, etc. as needed.
- Take notes and memos during meetings; type documents, drafts, and reports; sort and manage files.
- Run general City related errands.
- Manage databases and input information, data, and records.
- Set up, break down, organize, and maintain conference rooms, training rooms, and meeting rooms; update and manage outlook calendars.
- Attend City committee and events.

Education and Experience
- Recent graduate (within one year), or currently enrolled in college or university program. - Specifically - a political science, public policy or administration graduate program.
- Experience analyzing data and writing concise briefing material.
- Customer service experience is an asset.
Required Skills/Knowledge
- Demonstrated ability to communicate effectively both verbally and written.
- Strong knowledge of Microsoft Office Suite.
- Strong organization skills and the ability to manage multiple tasks and the ability to prioritize are a requirement.
- Ability to work with minimal supervision.
- The successful candidate should be an enthusiastic and creative team player.
- Effective interpersonal skills and demonstrated ability to establish and maintain positive and professional relationships with a wide range of stakeholder groups.
